Click2Gov Additional Charges

The Click2Gov administration console allows you to configure additional charges for payments made thorough the system. This document outlines the creation and maintenance of Additional Charges.

1. Creating a New Additional Charge

After logging on to the C2G administration console, select the 'Maintain Additional Charges' button from the menu on the left of the screen. You will be presented with a screen similar to this one:

Click on the button that says 'Create New Charges'. You will be presented with a screen similar to this one:

You must complete all fields that are not disabled. The following is the list of fields:

Charge Type
This can be any one of four types: 'Flat', 'Percentage', 'Dual', or 'Entered by User'. A 'Flat' charge is a fixed amount regardless of the fee being paid. A 'Percentage' charge is a percentage of the fee being paid. A 'Dual' charge is made up of a flat charge plus a percentage charge. An 'Entered by User' charge allows the user to decide how much to pay, between set minimum and maximum amounts.
Charge Code
This is the unique identifier for the Additional Charge. For example, if you are creating an 'Internet Convenience Charge', you may want the charge code to be 'ICC'.
Description
This is a short description of the Addition Charge.
Application Code
This defines whether or not the charge applies to customers paying over the internet ('Customer Additional Charge'), or to payments made through the administration console's debit section ('Console Debit Additional Charge').
Additional Fee Code
This is where the Additional Charge will appear in the general ledger.
Charge Amount
If you choose to create a 'Flat' charge, this is amount of the Additional Charge, e.g. $2.00.
Charge Percentage
If you choose to create a 'Percentage' charge, this is the percentage amount, e.g. 1.50%.
Minimum Amount
If you choose to create an 'Entered by User' charge, this is the minimum amount that the user will be able to enter, e.g. $1.00.
Maximum Amount:
If you choose to create an 'Entered by User' charge, this is the maximum amount that the user will be able to enter, e.g. $10.00.
Required?
If the user is required to pay this fee, then select 'Yes'. If this fee is option, then select 'No'.

Once you have finished entering the data, click on the button that says 'New Charge'. Your charge will now be created and you will be taken to a screen similar to this one:

The new Additional Charge has been created, and from this screen you can choose to edit or delete the charge.

It is important to note that an Additional Charge created in one application (e.g. Code Enforcement) will exist only in that application. If you want the same charge to appear in all of your applications (e.g. CE, BP, CX, etc) you must individually create them in each application.

2. Editing/Deleting an Additional Charge

To edit or delete an additional charge you must select a charge. To do this, use the drop-down menu at the top of the page.

Choose a Charge to View

Once you have selected a charge to view, you will be presented with a screen similar to the following:

You can edit the charge by simply changing any of the fields and clicking the button that says 'Save Changes'. Your changes will be made and you will be brought back to the same screen.

To delete the charge simply click the button that says 'Delete'. The charge will be deleted and you will be brought back to the first screen.
